About the Role

We’re looking for our first onsite recruiting coordinator to join our growing talent team. This person must have strong organizational skills and exceptional attention to detail to help streamline and support all stages of our hiring process. This role improves the candidate experience, ensures efficient scheduling and communication, and helps maintain a consistent, high-quality recruiting workflow.

In this role, you’ll collaborate closely with recruiters, hiring managers, and candidates to coordinate interviews, manage logistics, maintain accurate data, and keep hiring operations running smoothly.

Location

Foxglove is a remote-friendly company, with employees spread across many locations. We maintain Pacific Time hours and hire within ±4 hours of U.S. time zones to ensure effective collaboration.

For this position, we require someone who can be on-site in San Francisco five days a week.

Key Responsibilities

Scheduling and Coordination

  • Coordinate interviews across multiple time zones, ensuring smooth communication and logistics for candidates and interviewers

  • Assist with onboarding logistics and documentation as needed

Candidate Communication

  • Manage candidate communication, including confirmations, follow-ups, and updates throughout the hiring process

  • Partner with recruiters and hiring managers to ensure timely movement of candidates through pipelines

Systems and Operations

  • Maintain accurate data and workflows within our applicant tracking system - Ashby

  • Support job postings, requisition updates, and other administrative tasks

  • Contribute to process improvements that enhance candidate experience and recruiting efficiency

What We're Looking For

  • 2+ years of experience coordinating recruiting, operations, or administrative workflows

  • Experience using Ashby or other interview scheduling and applicant tracking tools

  • Ability to prioritize tasks, organize schedules, and manage multiple concurrent activities with accuracy and fine detail

  • Strong written and verbal communication skills, with a focus on improving and maintaining a high-quality candidate experience

  • Comfort working in a fast-paced environment with evolving needs

  • Ability to work independently while collaborating closely with recruiters, hiring managers, and cross-functional partners, including the office team on onsite interview logistics

  • Bonus Points – Experience in tech recruiting, especially within a startup environment
