The Department: Real Estate and & Office Services
The Real Estate & Office Services team at Gemini is responsible for building and maintaining world-class office environments that reflect our culture, values, and operational needs. As the company continues to scale globally, our team ensures that each physical location supports productivity, collaboration, and employee well-being. The Role: Associate, Real Estate and Office Services
We are seeking a proactive, highly self-sufficient Office Associate to lead the launch and ongoing operations of Gemini’s Scottsdale Operations Center. This new location will serve as a call center and periodically host events and employee on-sites, making it a critical part of our company’s operational footprint.
As the only on-site Gemini employee in this location, the Office Associate will be expected to independently manage all aspects of the office’s day-to-day operations. This role is ideal for someone who is hands-on, resourceful, and thrives in an environment where they can take full ownership. You will play a central role in ensuring that the office runs smoothly, feels welcoming, and supports all team needs—both during launch and beyond.
The ideal candidate is a self-starter who takes pride in creating polished, well-run environments and enjoys owning a space from top to bottom and solving problems on the spot. They are flexible and level-headed when priorities shift or challenges arise and are service-oriented, friendly, and maintain professionalism with guests, vendors, and colleagues. Lastly, they are looking to build something meaningful and be a foundational part of Gemini’s expansion in Scottsdale.
This role is required to be in person 5 days per week at our Scottsdale, AZ office.
Responsibilities:
- Office Launch & Buildout:
- Coordinate office setup and buildout activities, including delivery scheduling, space layout, furniture assembly, signage, and IT infrastructure installation
- Serve as primary on-site point of contact for vendors (e.g., F&B, furniture, IT, cleaning, cabling, HVAC)
- Track project timelines and communicate progress and roadblocks to the RESO team
- Liaise with internal teams (Design, IT, Security, and Office Services) to ensure a cohesive and on-brand office environment
- Ensure compliance with building policies and local regulations during buildout
- Day-to-Day Operations:
- Manage all front-of-house responsibilities, including greeting visitors, ensuring secure access, and maintaining a professional office appearance
- Oversee mailroom, deliveries, and shipping/receiving needs for the Scottsdale team
- Monitor office and pantry supplies, submitting timely orders to ensure team needs are met
- Serve as liaison with building management, security, and maintenance staff
- Log, track, and escalate repair and maintenance needs
- Support team visits and on-site events by coordinating room setup, catering, and vendor access
- Ensure all spaces (e.g., conference rooms, kitchen, reception) are clean, organized, and ready for use
- Security & Access:
- Administer physical access cards, keys, and security protocols in collaboration with the Gemini Security team
- Ensure compliance with Gemini’s physical security standards and coordinate with remote security support for escalations
- Respond to building or employee emergencies and serve as point of contact for base building
staff and facilities personnel
- Administrative & Reporting:
- Manage and track office-related expenses, process invoices, and monitor against budget
- Maintain clear documentation of vendor contacts, schedules, and service agreements
- Send regular operational updates to your manager and escalate issues as needed
- Support Gemini team members visiting Scottsdale with local recommendations and basic admin support
Qualifications:
- 2+ years of experience in office coordination, workplace operations, or facilities management
- Proven track record of working independently and managing physical space with minimal oversight
- Strong organizational and problem-solving skills, with ability to juggle multiple priorities
- Excellent interpersonal and communication skills; able to represent Gemini with professionalism
- Comfortable with light physical work, including lifting, furniture assembly, or moving supplies
- High level of tech-savviness, including Google Workspace (Gmail, Docs, Sheets, Calendar), Slack, and experience with building access/BMS systems
- Experience coordinating with external vendors and managing service schedules
- High attention to detail and ability to follow through on tasks from start to finish
- Experience supporting remote teams or working as a standalone operator is a strong plus
- Familiarity with call center environments or fast-paced operations is preferred
